Get 3 quotes minimum. The lowest is rarely the best. The highest is rarely ripoff. The middle one usually wins on quality + price.

What every quote MUST include

Heat pump make, model number, and CSA cold-climate certification
Indoor/outdoor unit specs (BTU, SEER2, HSPF2 ratings)
Total system cost broken out: equipment, labor, materials, permit
Removal/disposal of old system clearly priced
Electrical work scope (panel upgrade if needed)
Refrigerant lines, line sets, and condensate handling
Warranty terms (parts vs labor, years for each)
Pre-approval status — must be Participating Contractor
Estimated installation timeline
Payment schedule (no large upfront deposit)

5 red flags to walk away from

Pressure to sign today

Legitimate contractors give you time to get other quotes. Urgency tactics = sales pressure, not honest pricing.

Verbal-only quote, no written breakdown

No written, itemized quote = no accountability. Walk away if they refuse to put it in writing.

Cash-only or large upfront deposit (>20%)

Reputable contractors finance through equipment. Large cash up front = scam risk.

Vague model numbers ("Lennox unit")

Specific model number is required for HRS rebate. Vagueness = either inexperience or hiding lower-tier equipment.

"We handle the rebate paperwork, just pay the difference"

Common ripoff. Get the rebate yourself. If they "handle" it, you have no proof of what was claimed.
